Why dental reception is different

Booking, rescheduling and cancellations

Patients pick a treatment and a slot inside the chat. Cancellations are captured with a reason, so short-notice gaps surface early enough to refill rather than being discovered on the day.

Recalls and hygiene appointments

Six-month check-ups and hygiene recalls are the highest-volume, lowest-complexity bookings in a dental diary — exactly the enquiries that should never need a receptionist to pick up the phone.

No-show reduction

Confirmations and reminders go out on the channel the patient actually reads. Patients who cannot make it can say so in one message rather than silently not turning up.

Emergency escalation boundaries

  • The assistant never diagnoses, never triages and never gives clinical advice about pain, swelling, trauma or bleeding.
  • Dental trauma, facial swelling, uncontrolled bleeding and difficulty breathing or swallowing trigger an immediate stop: the patient is told to contact urgent dental care, NHS 111 or emergency services.
  • Out-of-hours emergency enquiries are flagged to your team and, where you configure it, routed to your emergency line rather than held in a queue.
  • Every escalated conversation is marked in the inbox so a human can pick it up with full context.

Practice management integrations — the honest status

There is no live two-way integration with dental practice management systems today. Appointments booked through Clincue live in the Clincue diary and can be exported into your PMS by your team. PMS sync is a roadmap item, and we will not list it as live until a clinic can switch it on. If a supplier tells you their integration is live, ask which system, which direction the data flows, and whether it is available on your plan.

Dental practice FAQ

Does Clincue integrate with my dental practice management software?
Not today. There is no live two-way integration with Dentally, SOE/Exact, R4 or Carestream. Bookings are captured in Clincue and exported; PMS integration is on the roadmap and we will not describe it as live until it is.
Can it answer the phone for my practice?
Voice answering is in development — it is not live yet, and it is never billed before it ships.
Can it quote treatment prices?
Yes, from the price list you load into the knowledge base. It quotes what you tell it to quote and says a clinician must confirm anything that depends on assessment.
Is patient data handled correctly?
Clinic data is isolated per practice with row-level security, a DPA is available before go-live, and sub-processors are published. Patients are told at the start that they are talking to an AI assistant.
How long does it take to set up for a dental practice?
Most single-site practices are live in under 10 minutes once the treatment list and hours are loaded. Based on Clincue internal setup testing with single-location clinics, August 2026. Clinics with large knowledge bases or WhatsApp verification take longer.
